Three templates buyers already know
Instead of a drag-and-drop editor, Sheetfolio gives you three fixed line sheet templates. Fixed means consistent: the same catalog generates the same pages every time, and a template that worked for your Spring catalog works for Autumn without adjustments.
Compact line sheet
One row per product: thumbnail, title, vendor, retail price, wholesale price, and a size × colour matrix with the SKU in each cell. A product with 8 sizes and 5 colours is one row with a 40-cell grid, not 40 rows. This is the format apparel, footwear and accessories buyers order from, and the one sales reps annotate by hand. About five products per page; 1,500 products come to roughly 300 pages.
Visual catalog
Six products per page with large images, title, SKU range and prices. For showrooms, lookbook-style catalogs and products where the image sells: furniture, decor, ceramics, jewellery. Variants are listed under the image rather than as a grid.
Price list
One line per variant: SKU, barcode, product, option values, retail and wholesale price. No images. For buyers who paste into their own purchasing system, for distributors, and as the price annex to a visual catalog. 1,000 products with 6,000 variants fit in about 170 pages.
Each template takes your brand name, season or edition, currency symbol and contact line and prints them in the header and footer of every page.
Where the wholesale price comes from
Shopify has no "wholesale price" field on a product, so every line sheet tool has to be told where to look. Sheetfolio offers two sources, chosen per catalog:
- A product metafield. By default
custom.wholesale_price, type number or money. If you already keep wholesale prices in a metafield under another key, type that key instead. Products without a value show a dash in the PDF and are listed by the preflight. - A percentage off retail. "45% off" computes the wholesale price from each variant's retail price, rounded to two decimals. Useful when your trade terms are a flat discount and when you want one catalog per tier (40%, 45%, 50%).
If you use Shopify's native B2B catalogs, keeping the wholesale price in a metafield and feeding both the catalog and the PDF from it is the clean setup. Our guide B2B catalog vs line sheet explains why.
What the preflight checks
Before a PDF is made, the preflight reads the selected products and reports the problems a buyer would notice. Each finding links to the product in your Shopify admin so you can fix it there; the app itself never edits anything.
| Check | Why it matters on a line sheet |
|---|---|
| No image | An empty box on the page. Buyers skip products they cannot see. |
| No price | A variant with no retail price prints nothing, and a percentage-based wholesale price cannot be computed. |
| No wholesale price | Metafield missing or empty on this product. Prints as a dash. |
| No SKU | The buyer cannot write the order. The most common line sheet defect. |
| Duplicate SKU | Two variants share a SKU; the order will be ambiguous. |
| No barcode | Only flagged for the price list template, where buyers scan or import barcodes. |
| Description too long | Over the template's limit; it is truncated on the page. |
| Many variants | More than the matrix can show on one row; the product is split across rows. |
| No vendor | Informational: the vendor column prints empty. |
| Missing alt text | Informational: no effect on the PDF, but a sign of incomplete product data. |
The preflight also estimates the page count so you know what you are about to send. On 1,000 products it runs in well under a second.
Saved catalogs and Refresh
A catalog in Sheetfolio is a saved definition: which products (a collection or all of them), which template, where the wholesale price comes from, and your branding. The first time, you press Generate. Every time after that, you press Refresh in your catalog list and get a new PDF with today's products and prices, in the same layout, without touching the definition.
Catalogs are listed with their last PDF: product count, variant count, page count, when it was generated, and the download link while it is valid. The Free plan keeps one catalog; Pro keeps as many as you need, for example one per collection, one per price tier, one per key account.
Large catalogs
Most catalog apps are tested on 50 products. Sheetfolio was built and tested on a store with 1,517 products, 10,380 variants and 1,366 images. That catalog renders as a 305-page, 13.6 MB compact line sheet in under a minute, and generating it twice gives two identical files, byte for byte. Images are requested from Shopify's CDN at the size the template prints them (240 px wide for the compact sheet), which is what keeps the file under 15 MB instead of 40.
The Pro limit of 2,000 products per catalog is a limit per PDF, not per store. A store with 5,000 products makes catalogs per collection.
Links and sharing
Every generated PDF gets a download link that is valid for 24 hours. You can send the link itself to a buyer or download the file and attach it. Links expire on purpose: a line sheet that circulates for months with old prices costs you more than the inconvenience of pressing Refresh.

What the app can and cannot access
Sheetfolio requests one access scope: read_products. That covers products, variants, options, SKUs, barcodes, prices, images, collections and product metafields. It does not request customers, orders, draft orders, checkouts, fulfilments, payments or themes, and it has no permission to write to your store. Details and retention periods are in the privacy policy.
What Sheetfolio does not do
- No free-form design editor. If you need a bespoke layout, export the CSV and use InDesign; see the four ways to make a line sheet from Shopify.
- No order form or checkout in the PDF. Buyers order through your B2B storefront, by email or through your rep.
- No per-buyer prices beyond what a metafield or a percentage can express. One catalog per price tier is the way to do tiers.
- No Excel or CSV export (yet). The price list template covers the "paste into my system" need for now.
Try It on Your Biggest Collection
The free plan covers 100 products and two PDFs a month. Run the preflight on your largest collection and see what buyers would have seen.
